Formal Writing

Language as an Obstacle

Why Avoiding Clichés in Business Writing Is So Important

10 Phrases to Never Use in Business Emails

Follow the Golden Rules of Technical Communication (required reading in Week 1)
The Golden Rules of Technical Communication should be followed in all writing. These are listed
in more detail in the required Week 1 readings..
Rule #1: Paper is Permanent. Make sure your word forms are accurate and your grammar and
mechanics are correct. Readers will be judging your message based on the quality of your writing
Rule #4: Break It Out. Instead of writing long, thick, dense paragraphs, you want to write readable text.
o Write short, crisp sentences that are readable.
o Write short paragraphs rather than long ones, as you deem necessary.
Rule #7: Signpost. Use headings to help organize your document.
Rule #8 Don’t violate (legitimate) standards Do not use non-standard terminology. (See emotionally
charged and vague language below).
Rule #9: Contemplate Before You Illustrate. Make sure Graphics add to your document and do not
simply dress up the document.
Rule #10. Cut the Fluff. You will need to communicate without getting wordy or including
information that is not helpful to your purpose Flowery, vague language is fluff also. Fluff is a serious
issue with usability. So Keep it simple and short (KISS)
Common fluffs: ALSO SEE VAGUE LANGUAGE BELOW and words to avoid to ensure concise writing
• formal and pompous writing
• unnecessary passive voice
WRITING CHECKLIST
Anthropomorphisms are inappropriate in business writing (APA, 2013, p. 69). Anthropomorphism is
attributing human characteristics (such as the ability to show or find something) to non-human entities
(such as studies or written reports).
http://academicguides.waldenu.edu/writingcenter/apa/other/anthropomorphism
Avoid phrases such as:
The following steps will demonstrate….
The document will instruct ……
Studies showed …….
Instructions will allow students to ……
Instructions show …….
The paper will discuss …….
DO NOT MAKE ANNOUNCEMENTS: for example, this paper will show, this paper is about, etc.
Diction: Some types of diction are never advisable in writing. Avoid clichés, vagueness (language that
has more than one equally probable meaning), wordiness, and unnecessarily complex language (for
example don’t write utilize – write use).

What is Passive Voice? Definition, Examples of Passive Sentences in Writing

Business writing should be concise and simple. Ornate sentences and words are unnecessary. The most
simple sentences follow the subject-verb-object format, i.e., use active voice. Including passive voice in
business letters detracts from the message you are trying to communicate.

TURNITIN INFORMATION
TII SCORE:
You will see results beside the file in the assignment folder. Look for more information at Turnitin FAQ.
1. After you submit your assignment, you will see your submission listed in the “Completion Status”
column. Click on your submission score.
2. This will take you to the Submission History. You will see your assignment with the Turnitin
Similarity Score and color-coded bar. Click on the color-coded bar to review the Similarity Report.
3. You can view the match score and the matching sources using the “red” icons in the right-hand
side panel. It will also highlight the matching text in your document.
4. If any text in your instructions are highlighted, that means you need to rewrite in your own words
because they are identical to already-published work.
5. Ignore any highlighting in graphics, citations, reference list.
After you submit the revision, if the similarity score is still over 15%, you may check the paper again from
the assignment folder. If you need to revise again, please do so and rename the file lastnameWA1final2
so I know which file to grade. You may submit up to 3 revisions ONLY IF THE SCORE IS OVER 12 to the
assignment folder up to the final due date. Please add the number 2 or 3 to the file name. The last file
submitted will be the one graded. Continue revising until your TII score is LESS THAN 15% (NOT
counting citations, graphics, or reference list).
If the graphics are original, list by Figure # and name in the references. If you take graphics from a
source, cite the source and put it in a reference list. Here’s how to do graphics:

How to cite an image in APA Style

NOTE: start submitting revisions before the due date in case you need to revise again because of
a TII report. You’ll need at least two days to work on revisions to get the TII score below 12.
No revisions will be accepted after the revision due date. So be sure to give yourself two days to
revise again if needed BEFORE THE DUE DATE.
I will download revisions the morning after the due date to start reviewing.
NOTE: if your revision TII score is 12 or below, DO NOT SEND AN ADDITIONAL REVISION before
or on the due date just because you forgot something or you wanted to work on the assignment
some more.
The FIRST assignment submission or revision with a TII score of 12 or less will be the one graded,
no matter how many other files you submit.
APA NOTE:

HOW TO FIND DOI
As of March, 2017 the recommended format for the DOI within an APA reference is like this
example: https://doi.org/10.1037/arc0000014
There are several ways to find the DOI:
• Look for the DOI on the PDF of the article.
• Look for the DOI on the detailed record for the article in the EBSCO database.
• Search for the DOI in crossref.org
• Use Google Scholar to find the DOI.
• Locate the DOI using PubMed.
Format recommended by the International DOI Federation:
https://doi.org/xxxxx
If the Digital Object Identifier, (DOI) is not listed, it might be found via a DOI locator.
If the DOI is longer than you prefer, try the DOI and URL shortner.
Basic rules and preferred link options for digital content:
If the source has a DOI, use the DOI.
If the source does not have a DOI, use the permalink.
If the source has neither a DOI or a permalink, use the URL.

Assignment #1 – Three Personas
Persona #1 – Rebecca
Rebecca is currently serving in the United States Navy. She recently moved to California, Maryland, near
where she will be working in the training center at NAS Patuxent River Navy Base in Lexington Park,
Maryland.
She moved into an apartment, and she loves her new place, especially because of the abundant natural
light. That light comes with a certain lack of privacy, primarily due to the slotted railings on the patio. She
would like to purchase lattices for the patio railings so that people passing by will not be able to see in as
easily.
She heard from co-workers that she is eligible for a military discount at Lowe’s. Lowe’s has a store in
Waldorf, Maryland, about 40 minutes away.
In order to get the military discount at Lowe’s, she has to enable the discount on her Lowes.com account.
Rebecca works in IT and is proficient with computers and the Internet. She simply needs to
Persona #2 – Joe
Joe is a US Air Force veteran. He just bought a house in Waldorf, Maryland and he is excited to finally be a
homeowner. His home was built in 1935 and is charming but needs several items fixed within. He, his
wife, his son, and his daughter moved from a small town in Kentucky, where there were only small,
locally-owned hardware stores.
Upon his first visit to the Lowe’s hardware in Waldorf, he was wearing a USAF baseball cap, and one of
the employees told him that he would qualify for a discount. However, the employee told him that he
first must go home and register for an online account. Anticipating multiple trips to the Lowe’s store in
Waldorf and the purchase of several high-priced tools, Joe decided that it made the most sense to create
that account and get the discount.
Joe is not very skilled with computers, not even knowing where to start in trying to set up the military
discount. Furthermore, he misplaced his military ID in the move. He is worried that he will not be able to
register without his ID.
Persona #3 – Carla
Carla is a real estate agent in Mechanicsville, Maryland. Her husband is currently serving in the United
States Navy and is out on deployment in the Persian Gulf.
She is setting up an open house for one of her clients and wants to purchase some flowers, light bulbs,
cleaning supplies, and air fresheners for the event. The open house is in 10 days.
Carla’s sister lives near Waldorf, about 20 minutes north. With her husband away, she has been spending
more time there in the past several months. Carla knows that Lowe’s has a store in Waldorf. Moreover,
Lowe’s offers a military discount. Carla has, therefore, decided that the Lowe’s store in Waldorf will be
her central hub for purchasing her items for any upcoming open houses. Establishing a Lowes.com
account and setting it up for the military discount will be ideal for Carla’s situation.
Last Saturday, she went into the Lowe’s store in Waldorf to ask the manager about the discount. The
manager advised her to go to the Lowe’s website and create her own Lowes.com account. The manager
noted that Carla could, in the process, set up the military discount.
When she got home, Carla accessed the Lowe’s website on her computer. However, when trying to
create the account, she could not get past the verification stage of her military status.
Now she is not sure if she qualifies for the military discount as a military spouse.
The open house is 10 days away. She would like to complete this process efficiently so that she can
proceed with her purchases and get the house ready.

Accommodation of Personas
In the instructions above, I made notes on certain steps or notes that each persona may find helpful. Joe is not proficient
with computers, and so I started at the very beginning, mentioning that the user should use the preferred browser and
providing the url that the user should access. I also made note in the introduction that he will not need a military ID to
register online but will need one in-store.
Rebecca already has a Lowe’s account but is not registered for a military discount. To accommodate her, I mentioned
the option to skip to Step 7 (including providing a hyperlink to step 7) so that she can save time. She works in IT, so she
will not need much help. But the instructions accommodate her in directing her to move on to step 7 to facilitate the
process.
Carla is in somewhat of a hurry. She wonders if she even qualifies for a military discount as a military spouse. For this
reason, The instructions state up-front in the introduction that spouses do qualify. This sets Carla at ease right away as
she begins reading the instructions.
Moreover, the website can be counter-intuitive when signing up as a military spouse. For this reason, the instructions
make special note for Carla in step 8 that she will need to enter her husband’s information and not her own. In this
way, the instructions accommodate Carla.

Steve Thomas, 38, is an English instructor for Prince George’s Community College. He has
been teaching there for eight years. He lives in Riverdale Park, Maryland, about 10 minutes
from Banana Blossom. He wants to order a cup of cold Vietnamese coffee online from Banana
Blossom and pick it up in about 30 minutes. He is getting ready to teach his class for the
evening, and he would like to pick up the coffee to go to give him an energy boost as he heads on
to class.
Steve has never ordered on Banana Blossom’s website before, although he was at Banana
Blossom two months ago with friends. He has ordered food online from other establishments in
the past.
He does not want to create an account, as he thinks he will not be ordering food regularly from
this restaurant. He wants to pay with his Visa card.
Melanie Johnson, 42, is an analyst for the General Accounting Office in Washington, DC. She is
at work now in her office in Washington, DC. She plans to have dinner with her friend, Sharon,
this evening at Sharon’s home in Beltsville, Maryland. Melanie will be leaving work in about
three hours, and she would like to order two meals online from Banana Blossom to take to
Sharon’s house. Sharon specifically told Melanie to order one of the dishes from the list of
entrée specials on the menu.
It will take Melanie about 30 minutes to get to Banana Blossom, so she will need to order her
food for pickup in about three and a half hours. She would like to set her pickup time at 5:30
pm.
Melanie would like to create an account because she anticipates ordering online from this
restaurant several times in the coming year.
Melanie has ordered food online before, but never at Banana Blossom. She will be using
American Express to complete her order.
Jared Sampson, 23, is a dog trainer for Pets Paradise in Lanham, Maryland. He is meeting with
some friends later this afternoon for a quick dinner in the parking lot of Prince George’s Stadium
before they enter the stadium to see a Bowie Baysox baseball game.
One of his friends, Suzanne, gave Jared a gift card for Banana Blossom four months ago for his
birthday. Jared will order food from Banana Blossom and pay for it with the gift card. Suzanne
told him that he has to order online in advance. If he tries to order in the store, his food order will
take too long, and he and his friends will be late for the baseball game.
Jared has never ordered food online from any establishment in the past. He orders his food
onsite when he gets carryout. He is a bit nervous about ordering online from Banana Blossom
because he does not want to risk giving out his personal information. He is glad to be paying
with a gift card to avoid putting his credit card information online. Still, he prefers not to post
any personal information online to a local establishment with which he is unfamiliar. He thinks
that if he orders online from Banana Blossom now, he will be harrassed in the future with emails
or texts from the restaurant asking him to order more in the future. He is anxious about ordering
online for this reason.
